[ SEMI-OPEN ] Con preparations catch-all!
WHO: Kaiba, and whoever is involved in con preparations
WHERE: AROUND
WHEN: Throughout the whole of June and July
WHAT: Con preparations! Everything that goes on behind the scenes and stuff, leading on from this Retrospec post.
WARNINGS: None!
( This is mostly for closed threads that are arising out of con preparations on the admin side such as staff interviews, discussion of con sponsorships and scheduling and events etc. just so that everything happens in one place, I can track what's going on, and I'm not running around to 10,000 different inboxes while threading. I'll be creating specific starters and top levels for everything that happens as and when it comes in! You'll see what I mean :3
Feel free to mingle on the network post here, and if you/your character would be feasibly involved in con preparations with Seto or any of the convention staff, please feel free to shoot me a PM to this journal or to contact me via plurk (
thelightroyale) or discord (Sarah#1309) and I'd be happy to set something up! )

22 JUNE - DON MAXWELL
[ Seto's standing behind his desk when Don enters his office - he's even tried not to go for the intimidating look today by going for a slightly more casual look - and when Don approaches he'll extend his hand in greeting before gesturing to the empty seat opposite him on the other side of his desk. ]
Take a seat - this isn't a formal interview, more of a casual chat for me to get a feel of you and where I can best slot you in my teams, and also your chance to ask me any questions in person.
[ There'll be a slight curve of a smile on his lips as he takes his own seat. ]
You mentioned you were an electronics junkie?
no subject
[He shook the offered hand and then sat. He didn't have much in the way of "interview clothes", but he definitely had at least tried to look somewhat decent.]
Sure, sure. That's fine.
[He nodded at the question.]
Yeah. I got into like robotics and stuff during high school, but pretty much anything with computers and hardware is pretty cool. That, and I like working on cars. I guess it's all kind of related in a way, with the robotics stuff sitting between cars and computers, right?
[He laughed a little. He liked working with his hands.]
no subject
He nods. ]
I see. And well. Robotics being robotics, I imagine you'd have to fix quite a few things that have spontaneously gone wrong before?
[ The laugh manages to cause Seto to smile a bit. Good. At least he can tell that Don just truly enjoys working with technology. ]
How familiar are you with AV tech in general, and general light, sound and other types of performance equipment?
no subject
[He smiled.]
I've done some basics with that. I tend to do more on the computers themselves. I built a pretty decent media machine back at my place. It's separate from my gaming machine mainly because I haven't figured out the best way to make one machine do both without some glitches and performance loss.
no subject
So I'm going to hazard a guess to say that you're familiar with the base, mass market stuff.
[ A pause, almost like he's contemplating what to add on. ]
Alright. The plan is that for the next month at least, I'm in negotiations with a vendor to provide us with extra equipment that the convention centre will provide. Extra power sources, mixers, screens, miscellaneous AV and gaming equipment. Since you mentioned that you're familiar with both media and gaming equipment, I'd be open to having you looking after that particular portfolio, partly to ensure that everything is set up correctly, that there's enough inventory and generally to make sure that everything goes smoothly.
Of course, that involves last minute ad hoc maintenance at the venue itself on that weekend, although for that part, I'm going to have a couple of other tech support people helping you so you're not working the entire weekend.
[ He's not. Going to subject people to a 96 hour weekend, that's just cruel. ]
no subject
Yup.
[He listened as Kaiba described the duties and what he had planned. It would require a little extra research on his part leading up to the convention, but Don was pretty sure he could pull it off. He nodded.]
Alright, cool. I can do that.
[He grinned.] Definitely appreciating not being on the entire weekend, though. [He laughed a little.] That would be nuts, right?
no subject
[ He's. kinda joking? He's smiling, although that entire sentence was kind of deadpan. ]
That said, I probably would not require you to come in full time at least for the first two weeks, since I'll only have the actual equipment on hand at the convention centre in the second half of June. That's when you'll probably need to be on site for at least a few hours every day to start with the set up and to wire the entire thing together to a main control room we're setting up on-site and to make any modifications if you need to, since some of the equipment will be quite specialised.
no subject
No way, man. I'm definitely not.
[He nodded at the rest of it.] Makes sense. Sounds pretty fun, actually. I'm looking forward to it.
[This could be a nice experience boost, too, in order to get something better than delivering pizzas to make money.]
21 JUNE - ANASTASIA VASILIEVA
She... definitely didn't have words for that, but she was still happy to meet Kaiba when that's what her company told her that they wanted. So that's why she's being escorted to his office and offers a smile when she's allowed entry.]
Mr. Kaiba...? Ah, всем привет! Hello... My name is Anastasia - but please, I am Anya?
[an easy introduction and despite her slight nervousness, she offers a happy little smile. he's someone who will help her dreams come true, yes? so regardless, she's happy to meet him.]
no subject
Well, he couldn't really argue with that.
And to be fair, when he's actually seen her in person, he's... actually not very surprised as to why her debut and her current media appearances are attracting some kind of frenzy.
He's done his research, after all.
He smiles back, extends a hand for her to take. ]
Anya it is, then.
[ When she takes a seat, either on the sofa in his office or in the chair at his desk, he picks up a lanyard that's on his table, along with a small, printed schedule, hands it to her. It's an all-access security pass and badge, for the convention. ]
Anya, has your manager told you what you're going to be doing at the convention?
no subject
It's important for her to do her best too, after all.
When the question comes up, her eyes dart up and she offers a smile and a nod.]
Да! Yes. It is a performance schedule, I think. So I will do singing and dancing then autographs and meetings later. [She slows down on the longer words - autographs is one she's gotten practice in, at least - but otherwise speaks confidently.] Почитатели? A chance to meet the fans?
[That's what she gets excited for, admittedly. Her eyes light up at the mention of performing and all the things she'd like to do - ]
I am excited... Cпасибо - Thank you for the chance.
BACKDATED - 23 JUNE - SORA PU'UWAI
He'll then do a small double take because he recognises Sora from the time when everyone was briefly doll-sized. Ha. Such a coincidence. ]
Sora? [ Gestures to the recently vacated seat opposite him. ] Take a seat - this isn't a formal interview, more of a casual chat for me to get a feel of your personality. No pressure, and don't worry about answering any questions wrongly.
[ His own posture is relaxed. He means it. He knows how terrible stuffy interviews can get. ]
Like I said in my email - I'm thinking that you would be better suited to something a little more general, at least until you decide whether you want to switch to something more specialised. You mentioned being able to work the floor, so I'm assuming that you'll be able to give people directions on where to go for various events and where to collect various items, things of that sort. Is that something you'd be able to do?
no subject
On walking into the meeting room, though, he does light up a bit when he recognizes the guy in the chair. He never caught the guy's name before, but it's still eases him to see that at least he knows him.
He grins widely, and takes a seat when Seto tells him to.]
I can do that, yeah! I know I don't have a lot of experience, so I think I'd be good at doing whatever needs doing, you know? And then, uh, if you think I'd be better at doing something else, you can tell me to do that instead?
[He sure does have a way with words, does Sora.]
no subject
We have a month leading up to the convention, anyway - that's plenty of time for you to get used to everything. While you won't be working with me directly - one of my team leads, Yugi Mutou, will be in charge of the general administrative side of the convention - you're always welcome to talk to me any time during this period if you feel like you could be better utilised doing something else and I'll see what I can do.
[ He's a firm believer in efficiency, ok, which is also why he doesn't exactly beat about the bush when it comes to work-related matters. ]
If I have you start on Monday, the 3rd, that shouldn't be a problem, right?
no subject
[This seems like it'd be a good job for him, in his opinion. And his mom would probably be pretty happy he has a real job too.]
What should I call you, by the way? Seto, or Mr. Kaiba? We, uh, never really introduced ourselves before.
[They were busy being tiny and trying to not get attacked by bugs the last time they met.]
BACKDATED - 21 JUNE - YUKINE MATSUOKA
Matsuoka Yukine? [ He takes the folder from his receptionist, opens it and places it down on the desk before extending a hand to Yukine. ] A pleasure. Kaiba Seto. [ He'll gesture to the seat opposite him before taking a seat himself. ]
First things first, this is a preliminary discussion - and I'm hoping that by the end that we'll be able to agree on whatever we've discussed. I've seen your photos and I admit I'm impressed with the quality, for an amateur.
[ Not in a depreciating way, but he's also not expecting Yukine to be as young as he looks. ]
How familiar are you with the way conventions and conferences are run, and what is your impression when I say press corps?
I'M SO SORRY TO BE HERE SO LATE. also god kaiba has such perfect nails in that icon.
Nice to meet you, Mr. Seto. ( a polite nod of his head before placing his own folder down on the desk. it's important for him to show that he's as serious as anyone else is about his work. he's even put on a stupid suit to come see him. he's that level of nervous. ) I also brought these for you in case you'd like to see some newer examples of my work.
( then he sits, folding his hands in his lap. )
Thank you. I really appreciate your consideration.
( then a pause. )
Not at all. I've never attended a convention before and my only experience with conferences would be streams from gaming conventions. A group of people assigned to a location and dedicated to providing coverage through video reports and news articles?
BACKDATED - 22 JUNE - MAO YATA
Yata Mao? I'm Kaiba Seto. [ He'll gesture for the other to take a seat. ] First off, this is merely an informal chat - I don't expect perfect answers to every single question I'm asking, but this is more for me to get a feel of your personality and to see where best I can slot you into the teams that I have on the ground doing most of the legwork.
First things first, could you tell me about how you were involved in the largest event you've organised, to date?
no subject
[ Mao's not sure what to expect going in, but he's got a slim binder under his arm with student council information in it. He sets it in front of him when he sits down and gives Kaiba his full attention. ]
I would say the largest event I've been a part of so far would be the recent prom at the high school. I was part of the committee that oversaw arrangements for decorations, refreshments, entertainment--both live and recorded, since we offered people the chance to perform if they wanted to--pretty much every part of the event. There were several dozen guests and everything went smoothly. Well... except for the chocobo but I think we handled that pretty well too.
[ Whyyyy did he mention that? MOVING ON. He turns the binder so it's facing Kaiba. ]
I'm only going to be a junior this coming year so I didn't get to sign off on anything, but I have copies here [ and he opens the binder ] of all the invoices from the caterers, the entertainment company, this page has the list of attendees so you can get an idea of scale...
[ He's very organized but it's true that his name isn't on much of the paperwork. He's included the minutes from the committee meetings, though, and his name is on every one of those. ]
no subject
I was at prom, actually, although I left before the chocobo incident. I've heard rumours of what happened, though.
[ But he won't ask about it, and at this juncture, he'll reach for the offered binder and flick through the minutes.
And that's really almost everything that he needs to know, to be honest. Having actually been at prom and having actually seen the results of the planning committee is the largest testimonial that Mao could have gotten.
He snaps the binder shut. ]
Is there any particular area that you're interested in? Likely I'll have you working with one of my staff members to to sort out the artist's alley - there's probably a few other items that you will have to take charge on, but primarily you would be liaising with local artists who would like to rent space, allocating booth space, collecting rental fees and also function as a point of contact for them if they have any queries.
no subject
[ That's embarrassing, but it doesn't seem to have done too much damage, and luckily the worst part of the night was one Kaiba completely missed. Mao sits as he goes through the binder, quietly pleased with himself for thinking to bring all that. He doesn't really have a resume to so speak (though if he's going to keep doing interviews, he probably should) but the binder appears to serve its purpose well. ]
That sounds great. I've worked with financial organization like that before, it's something I'm comfortable with, and I'd certainly be interested in getting to know more of the local artists.
BACKDATED - 23 JUNE - IZUKU MIDORIYA
Midoriya Izuku? i'm Kaiba Seto. [ He'll offer a hand to Izuku to shake before he gestures for the other boy to sit down. ] First off, please don't feel pressure, it's not an informal interview, this is merely an informal chat - I usually find that talking to people gives me a feel of your personality and it's easier for me to see where best I can slot you into the teams that I have on the ground doing most of the legwork.
First things first, you mentioned that you were good with arranging events - could you elaborate a little bit more on that?
no subject
He rubs his slightly sweaty palms down the sides of his pants in a move he hopes is discreet enough, before accepting Kaiba's handshake. Once seated, he folds his hands in his lap to keep from fidgeting.]
Ah-well I haven't arranged many events exactly. Unless you count helping form a new club at school. We had to come up with a pitch for the club about what we hope to do with it. And we had to find a teacher who would be willing to sponsor us and lend us their classroom for our meetings. I had a hand in organizing all of that. One of my strengths is organization, I take a lot of notes and make schedules.
3 JULY - YUGI MUTOU
They're profiles, information, and likely postings for the new people who are coming in to help out for the con, and this really is for him to brief Yugi on what to expect when they come in later. ]
Yugi.
[ The papers are all laid out on the desk - it's not a huge number, but then again, they're not exactly a huge company either, but Kaiba has always been able to pull out miracles of a sort somehow even with a shortage of manpower. ]
Quite a lot of teenagers who are willing to help out, I suppose, mostly because they're on school break.
[ NOT THAT HE'S JUDGING HE'S JUST MAKING AN OBSERVATION. ]
Do you see anyone you recognise?
no subject
I'm not really recognizing anyone, actually.
[ He gave Kaiba a smile anyway. ]
It's good you've been able to find people, actually. It'll make the work come about a lot easier.
no subject
Officially, I'm listing you as their supervisor - you're closer in age to them than I am, and while I'm negotiating appearances and the like and handling our own showcases and press kits, I will leave the actual organisation of the event to you and your team.
[ A pause. ]
Some of them have little to no work experience in general, so you might want to start them off easy with small errands. I've marked their names in yellow. Orange names are those who have indicated interest to work in the press corps and marketing, I'll handle those separately.
For now, the most important thing we need to secure is booth, space and equipment rental and to confirm participation from those who have signed up for booths, just to make sure that we have enough happening to draw a decent crowd.
I've also sent a tentative schedule to your email-- [ about five minutes before Yugi got here, probably ] --so if you could take a look at that and mark up your feedback before you go off today, that would be good.
no subject
He had already glanced at the schedule, but looking at it with more depth would take time. ]
Understood. Did you want me to handle some of the press corp? I can make sure they are staying to certain areas if that would be more beneficial.
Also, for the booth, did you want me to assign some of these volunteers to making sure lines and people are staying organized?
